SR Scheduling Guidelines for New Shows and Show Date or Location Changes

1. All show scheduling requests should be forwarded by the club secretary or president to both the SR Director (eMail  heartbeepscomcast.net) and the National Show Scheduler (eMail Gina  grlehmanknology.net).   To ensure accuracy, all show changes should be requested in writing.  Email is acceptable.  If you do not receive a timely response, please follow up to make sure your email was received.

2. All requests for new show dates or changed weekends should include the following information:
   a. Sponsoring club or clubs
   b. Show location - city, state including facility if known
   c. If request is for a single year or permanent
   d. A date change will not become a traditional date until  the show has been held for 2 years and the club notifies the SR Director that this is a permanent change

3. Your show request will be posted to the SR list and forwarded to clubs holding shows in same metropolitan area or on adjacent weekends within 500 miles.  14 days will be allowed for feedback. 

4. After this period, a definitive response to your request will be forwarded back to club secretary.  If approved, the show request will be added or updated on the SR show schedule, posted to the SR List, and sent to secretaries of impacted clubs.  Impacted clubs are clubs with shows in same metropolitan area and on adjacent weekends within 500 miles of your show.   

5. Traditional show dates for clubs will be honored.    A traditional show date is a month and relative weekend   (i.e. first weekend in May) that a club has used for two or more years.  Shows approved for one year only may not count towards a traditional date.  SR show schedule for current and next year are listed on the SR Website.

6. Traditional show dates will be lost if a club has not held a show in two or more years. Clubs who cannot hold a show for two or more years should work with the SR Director on future show scheduling.

7. The current distance guideline for SR show scheduling is 500 miles from other SR shows and shows in adjacent regions. This does not impact shows scheduled prior to the establishment of these guidelines (i.e. traditional show dates or dates established prior to 2002). Show scheduling in other regions are scheduled according to their own guidelines.  All regions work closely with the National Show Scheduler to minimize show impact between regions.

8. CFA Show Rules dictate that show date changes be approved in writing by the Regional Director.  The Central Office sometimes requests approval for shows on traditional dates that have missed one year.  Changes are difficult to keep up with. Please be patient. Traditional dates will be honored in this case and Regional Director approval will be forwarded to CO.

9. Contracts should not be signed until the date is approved through regional show scheduling and national show scheduling. This will help ensure that your show is not  not impacted by shows being held on same or adjacent weekends.

10. Keeping the SR show calendar up to date is dependent upon getting timely and accurate information from you.  Your cooperation is critical to managing the SR show schedule.

11.  Please notify the SR Director as soon as possible if you will not be using a requested show weekend.  Even if it is for one year only, this will free the weekend up for use by other clubs.

12. The SR also offers its clubs a free online show listing service.  Shows are listed on the SR Website for next 6 months if listed on the CFA Show Schedule or when you send the SR Show Webmaster your show flyer and/or website. 

13. Additional Show Scheduling Guidelines:

      a. Too many shows too close in time and distance could impact entry. 

      b. Too many shows at the same facility could impact both gate and entry.

      c. Even shows 500 miles apart can impact entry depending upon exhibitor base shared by both shows.

      d. Many exhibitors attend only 1 or 2 shows per month. 

      e. Varying judging slates often helps attract exhibitors to your shows.

14. Shows are not scheduled on the following National and Regional Traditional Weekends:
     a. Regional Awards Show:  Second Weekend in June
     b. CFA Annual: Third or Fourth Weekend in June - check Almanac or CFA Website for
          Dates
     c. CFA International Show: Third or Fourth Weekend in November - Check Almanac or
          CFA Website for Dates.
